This role provides financial support for the Humphrey School of Public Affairs, serving in both primary and back-up capacities for various financial functions. Financial reports are prepared and distributed allowing budget owners to have up-to-date, accurate information on balances and key points related to current funding. Both non-sponsored and
sponsored funding is managed, although there is greater focus on the sponsored post-award responsibilities.
* Financial reporting, post award management, and financial analysis (55%)
Prepare and distribute monthly financial reports to faculty, principal investigators, and other budget owners.
* Using the Reporting Center, UM Analytics, PeopleSoft and other system reports, monitor expense activity and trends, and identify patterns or changes of note
* Understand and apply policies, procedures, and regulations related to funding, both sponsored and non-sponsored
* Develop projections for funding and address any concerns
* Partner with Sponsored Financial Reporting, Sponsored Projects Administration, and other units as appropriate and necessary to manage funding
* Using Excel, prepare and review budgets, and implement budget plans for authorized funding
* Work in advance of budget year, fiscal year, and project deadlines and end dates to close funding
* Verify expenses are allowable, allocable, and reasonable for funding source
* Provide support and service as the expert on ChartField strings assigned
Review financial documents, serve as financial approver, and implement corrections/adjustments (30%)
* Serve as DeptID approver
* Apply relevant policy, regulation, and contractual commitments as appropriate when reviewing and approving transactions
* Confirm all required forms and documentation, including justification, is provided prior to approving requests. Secure additional forms/information as needed to comply with standards
* Work with preparers to improve approving workflow and processing to yield efficient, compliant entry and transaction processing
* Confirm funding is available for hiring and position posting requests
* Maintain salary worksheets for employees to document personnel expense plans and verify employee distributions are accurate
* Review and approve Effort certification statements confirming that percentages reported accurately reflect Effort applied
* Prepare, submit, and/or approve requests to redistribute expenses posted to incorrect strings
Compliance, chart of accounts, audit, and other administrative responsibilities (15%)
* Support and promote a culture of compliance
* Maintain accurate and current information related to active ChartField strings
* Participate on committees and groups related to assigned work responsibilities
* Attend meetings to learn and share information
* Complete trainings to expand knowledge and enhance professional development
* Work with central units to address questions and provide information
Actively engage in the work and operations of the Financial Services Office team and recommend opportunities for improvement
Required Qualifications
-BA/BS with at least 2 years of administrative experience or a combination of related education and relevant administrative experience to total five years.
-4-5 years of financial accounting, reporting, or auditing experience.
-Experience utilizing departmental/collegiate electronic human resources and financial records
–Experience working in a public policy setting
-University of Minnesota or other higher education institution accounting experience
-Experience with Microsoft excel and word
Preferred Qualifications
-Experience with Gmail and Calendar, UofMN Online Employment System, PeopleSoft (HRMS & EFS)
-Proficient in Level One Competencies: Analytical Thinking, Critical Thinking, Problem Solving/Decision Making, Time Management, Influence/Negotiation, Integrity, Accuracy/Attention to Detail
-Demonstrated knowledge of current Accounts Payable business operations.
-Demonstrated ability to work effectively with diverse decentralized customers and constituents.

-Proven strong organizational skills; proven ability to manage multiple responsibilities at one time.
-Proven ability to perform work activities requiring negotiating, instructing, or persuading others.
