College of Medicine Academic Affairs:
The Office of Academic Affairs provides oversight of the education curriculum and enables the success of students and faculty in teaching and learning, research, and creative expression. We are dedicated to advancing the academic mission, vision, and goals of the UCF College of Medicine and are committed to achieving the highest levels of academic excellence.
The Opportunity:
The Office Support Assistant serves as the primary assistant/receptionist for the College of Medicine Faculty and Academic Affairs office suite in the College of Medicine Building. In addition, the Office Support Assistant performs various general office support duties. Duties include data entry, mail handling, filing, composing routine correspondence, answering phones, greeting visitors, scheduling, and arranging simple events.
Responsibilities:
Complete duties related to external and internal relations:
Greeting visitors and directing visitors to proper meeting locations and appointments.
Handling inbound calls and directing callers to appropriate individuals.
Responding to inquiries regarding schedules/agendas, room and/or meeting coordination directing requests and inquiries to appropriate individuals as needed.
Maintaining relationships with external constituents (i.e., interviewees, vendors).
Contributing to planning conferences and/or meetings and assisting in arranging travel plans.
Complete duties related to office administration:
Ordering office supplies and maintaining inventory.
Ensuring office machines (e.g. phones, printers, copiers, and fax) are in working order and may perform routine troubleshooting, as needed.
Providing oversight for general day-to-day office operations.
Coordinating meeting spaces and arrangements.
Ensuring administrative and procedural processes are upheld.
Addressing administrative and procedural issues as needed.
Monitoring and tracking expense transactions, at times against a stated budget.
Assisting with routine human resources activities (i.e., new employee orientation, maintenance of personnel files, updates to Human Resources).
Complete duties related to effective communication development and production:
Preparing correspondence and communication materials.
Overseeing the production of communication pieces, including proofing, print production, and dissemination; using word and data processing software to complete necessary correspondences, database entries, and reports.
Assisting with projects affecting the entire MD curriculum. Typical duties include proctoring exams, setting up classrooms, developing session materials, and setting up Zoom meetings.
Other duties as assigned include but are not limited to the timely completion of university and college-required training and updates.
Minimum Qualifications:
High School Diploma or equivalent and 0+ years of relevant experience.
Preferred Qualifications:
Basic computer literacy skills, data management and office software skills. Software programs used: Microsoft 365, Zoom, Qualtrics, Canvas, OASIS.
Ability to successfully organize detailed information and plan and create create/organize detailed schedules.
Demonstrated customer service and interpersonal skills; Service oriented and responsive to questions and requests.
Ability to exercise good judgment, discretion, and diplomacy in both verbal and written communications.
Knowledge of common medical terminology and medical education.
Demonstrated ability to work independently as well as in a team.
