Brief Summary of Job Duties
Under the general supervision of the Academic Personnel UCPath Manager, serves as a campus expert and resource for matters related to academic employment in UCPath. Using independent judgment, provides guidance to campus UCPath users to accurately and appropriately process workforce administration (WFA), position, and Student One-Time-Pay actions. Identifies root cause of moderately complex individual issues resulting from incorrectly applied WFA actions, or thematic issues resulting from system changes or defects; facilitates, documents and advocates for timely WFA, pay, benefits and systemic issue resolution; and escalates/advocates for Case resolution with UCPath Center as needed. Applies knowledge of academic compensation and academic personnel policy to advise and train campus staff, initiate and approve transactions, and monitor compliance of academic personnel actions in UCPath. Interacts with over 80 campus academic departments, centers and programs, various administrative offices and the UCPath Center (UCPC). Serves as a primary campus contact on all issues related to academic appointment and compensation transactions in UCPath. Uses strong analytic and organizational skills in working on multiple projects with frequent interruptions. #LI-KA1

Job Functions/Percentage of Time/Duties
UCPath process review and issue resolution (25%) – With an understanding of academic personnel policy and procedures, administers system processes related to all UCPath actions to ensure compliant, consistent and efficient practices. Under the guidance of the UCPath manager, helps identify system change impacts to existing practices (due to defect resolution, UCPC process changes, or system upgrades), and adapts/updates campus procedures and corresponding documentation as needed. Collaborates with AP-Path team, policy analysts, central campus units, UCPC and department experts to ensure process review incorporates a multi-functional perspective. Develops and updates campus resource materials regarding system processes, and provides campus-wide guidance to UCPath users on system functionality, best practices, and issue resolution. Collaborates with central teams and departmental staff to resolve compensation, benefit, and employment issues. Investigates and resolves issues where campus action can be taken, and creates detailed documentation and advocates for resolution when UCPC action is required. Under the direction of the unit Manager, handles escalated issues from both campus constituencies and the UC Path Center. Maintains a high level of sensitivity and confidentiality regarding employee pay, leaves, and personal matters.
UCPath transaction initiation and approval (40%) – Creates and maintains positions in UCPath. Assures compliance with systemwide and campus policy and procedure for creation, update and inactivation of positions. Initiates and approves updates to employee Job Data via PayPath transactions, including: extensions of appointment, Short Work Break, merit and promotions, Postdoc level progressions, FTE adjustments, additional compensation, extended absence requests, and other centrally managed UCPath transactions. . Evaluates policy approvals to determine best practices to implement appointment changes in the system, and mitigate potential downstream impacts to employee pay and benefits. When issues arise, identifies and manages campus corrective actions, including Case creation and escalation with UCPC, advocating for timely and accurate resolution. Serves as final point of approval for department-initiated updates to academic employee appointments for the campus including hires, separations, one-time pay transactions, AB119 location and reporting updates, as well as summer additional compensation Position Control and PayPath actions. Maintains an extensive and thorough understanding of academic personnel policy and procedure to assess appropriateness of all academic transactions. Serves as a campus expert regarding UCPath transactions as they apply to academic employees and contingent workers. Provides expert guidance to department users to ensure UCPath transactions achieve the correct result, avoid unintended issues with employee pay, benefits, and retirement plans, and that records reflect an accurate representation of the employment relationship.
Compliance (15%) – Monitors reports including but not limited to: expected job end dates, short-work break returns, extended leaves, and transactional data reports. Coordinates with departments and other campus entities to correct errors, resolve issues, and make updates to UCPath as necessary. Assures that actions taken are within policy and conform to UCPath workflow and business processes. Under the direction of the Manager, collects, prepares, and analyzes data in response to information requests from the UCPC, Office of the President and other entities. Assists the unit Manager with design of campus specific and internal reports and processes.
Training (20%) – Under general supervision and in collaboration with other campus central teams including Human Resources, ETS, and payroll, provides formal campus training regarding the use of UCPath. Maintains a full understanding of Peoplesoft and UCPath specific functionality in support of training efforts. Applies knowledge of academic policy to ensure training programs, materials and presentations address and support academic employment processes in the UCPath system. Reviews and updates existing training materials to ensure changes in system functionality and practices are addressed. Identifies issues, trends and training gaps, and recommends new training resources for campus users. Provides ad hoc Zoom training to department transactors as needed. Serves as an expert UCPath resource advising campus users regarding the appropriate transactional activity to assure consistency and compliance with academic personnel policy.
