Responsibilities

• The Fleet Coordinator supports the Fleet Manager with all fleet related documentation requirements, report processing, invoice/AP processing, and paper work processing of parts/service procurement for Primo Water.
• Checking invoices for accuracy, ensuring proper account coding, creating work orders and purchase orders in the fleet tracking system (Oracle/EAM)
• PM scheduling reports, DOT inspection and compliance requirements, IFTA fuel tax reporting, state and local requirements.
• Follows Company Purchasing Policy guidelines. Schedules vehicle services, completes work orders and purchase orders with outside vendors.
• Monitors and updates inter-company vehicle transfers and the utilization report. Sets up outside vendors, schedules rental vehicles and invoicing.
• Works with Accounts Payable to resolve invoice issues.
• Assigns vehicle fuel cards and pin numbers.
• Collects monthly fleet report data for the division, including vehicle mileage, preventive maintenance completions, GE Capital invoices.
• Verifies and updates licenses and registration requests.

Qualifications

• Prior fleet maintenance-management experience is required.
• Excellent communication skills required. Strong ability to work with people required.
• Familiarity with D.O.T. regulations governing the use of Commercial Vehicles, and fleet licensing and fuel tax compliance required.
• Strong mechanical aptitude required.
• Commitment to Excellence — generates ideas for improvement; sets high performance levels.
• High School Diploma required.
• Advance PC skills needed. Proficiency with Microsoft Office is required.
• Well organized. Independent judgment capabilities (position has some latitude in making decisions).
