JOB GOAL:
The Special Education Enrollment Coordinator is responsible for facilitating the student
enrollment process by assisting interested families, presenting program information and
requirements, scheduling, interviewing, data entry, document retrieval, and approval. They must be well-versed in special education, PA Cyber’s Special Education Program, and continuum of services. This person must possess excellent listening and communication skills to aid families in enrollment and individualized program offerings at PA Cyber. This person should also have excellent telephone skills, organizational skills, and an ability to focus on details. This role requires one to be well-versed in special education as well as the general vision of PA Cyber.
MINIMUM QUALIFICATIONS:
• Bachelor’s Degree in Education
• Valid and Active Special Education teaching certificate
• Excellent written and verbal communication skills
• Customer- service oriented
• Child Abuse Clearance; Pennsylvania State Police Criminal Record Check; and
Federal Bureau of Investigation (FBI) Clearance
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Responds to and provides outstanding customer service to prospective and current families both in person, via telephone, or online.
• Well-versed in all aspects of PA Cyber programs and special education programs and continuum of services to conduct high quality interviews with families during interview and via phone or email prior to enrollment.
• Assist families to obtain necessary special education documents prior to enrollment as requested.
• Coordinate the intake/application process from initial inquiry to enrollment completion.
• Perform all data entry into enrollment database, including entry of leads, new student enrollment applications, tracking of documentation required for enrollment and approval of student enrollment.
• Set enrollment appointments for families.
• Confirm special education enrollment appointments via telephone and email.
• Assist Enrollment Services leadership in coordinating staffing for special education enrollment in the field.
• Meet and greet all students and families as they arrive at enrollment events.
• Travel to enrollment events, satellite offices, and support centers to conduct enrollment appointments, review paperwork, and serve as a special education resource for regular education staff.
• Assist Enrollment Coordinators with contacting school districts to obtain any outstanding special education documents after enrollment.
• Attend all Special Education department trainings and department-wide meetings as necessary.
• Keep informed of latest information, training, resources, updates, processes,
procedures, and policies in special education.
• Responsible for ensuring that events have leadership representation at the event or on call from the Special Education department when necessary.
• Proficient in all enrollment software including but not limited to CRM, appointment scheduler, interview manager, and the student information system.
• Act as key communicator with Special Education Leadership regarding student enrollment as necessary
• Act as expert special education resource for Enrollment Services department
• Must meet department enrollment event and student enrollment application goals set forth by administration.
• Responsible for all aspects of special education enrollment process from initial contact through student enrollment completion
• Represent the organization at enrollment, promotional, marketing, or school sponsored events.
• Keep informed of PA Cyber competition and differentiators in the market.
• Work adjusted hours to meet enrollment and organizational demands.
• Perform any additional duties as deemed necessary by the Director of Enrollment Services ,
Associate Director of Enrollment Services, Enrollment Services Team Leader, and Chief Operations Officer.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is occasionally required to stand, walk, sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
