Location: Lansing, MI

Purpose: This position is responsible for general office support assignments such as processing of documents and recording, retrieving, and distribution of information or documents. Aids all members of the Bureau in fulfillment of their duties. Provides support to Bureau projects. In addition, this position may function as a member of the MDHHS Public Health Emergency Response Team requiring 24/7/365 availability, responding to the Community Health Emergency Coordination Center (CHECC) during any public health preparedness trainings, emergency activations, or exercises.

Duties and Responsibilities:

• Collect, sort, batch alphabetize, code, and/or places in numerical order various documents for filing, storage, or processing.
• Organize, maintain, and/or purge files, documents, and/or logs.
• Receive verbal and written requests for information. Determines pertinent sources and search records and files for information for requestors.
• Enter, retrieve updates, verify, and delete information from manual and electronic files.
• Index- identify types of documents, categorize by the appropriate document titles, and associate accordingly.
• Scan, rescan, and electronically store documents.

• Retain original documents in accordance with policy requirements.
• Maintain records, determine needs, obtain authorization, and complete forms to replenish equipment, materials, and supplies.
• Receive, review, and categorize standardized requests and notices from stakeholder organizations and external entities, and direct to appropriate staff members.
• Monitor and utilize shared email inboxes to support Bureau communications.
• Always represent the best interests of MDHHS and MPHI.
• Other duties as assigned.

Qualifications/Requirements:

Education: High School diploma or equivalent is required.

Experience: A minimum of two years of administrative support required. Three or more years’ experience preferred.

Work Environment and Physical Requirements: Standard office environment. Job may require minimal physical effort such as transporting standard computer or office equipment. Involves significant computer related activity including keyboarding and work on a computer screen, in addition to communication by telephone.

IMPACT ON PROJECTS, SERVICES AND OPERATIONS: Performs as a critical member of a team of professionals working to support the State of Michigan in Emergency Preparedness and Response as well as the Healthcare System through Systems of Care and Emergency Medical Services.
