Residency Program Assistant works under the direction of the Director of Graduate Medical Education to provide administrative support to the Residency/Fellowship programs & GME Faculty. This position will have integral involvement with all residency/fellowship programs at EMC

Required: Minimum two years’ experience in administration and/or clerical support
Preferred: Experience in an academic healthcare setting
Essential Responsibilities
Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and reports suspected violations.
Provides administrative support to GME Director, GME Faculty (Research, Quality, DE&I), Residency/Fellowship Programs including correspondence, contracts, proposals, minutes, forms and other confidential documents.
Ensures materials are available to GME from EMC distribution and vice a versa.
Keeps inventory and orders all GME supplies.
Maintains the GME storage and copier room.
Provides support for filing, scanning, copying, etc.
Establish, maintain and revise record keeping and filing systems at all times recognizing the critical need for confidentiality and awareness of sensitive materials.
Clerical support for assigned committees.
Schedules, organizes and prepares agendas/materials for GME related meetings.
Maintain resident & stock Residents lounge areas.
Order PPE/Staples/Nutritional supplies.
Updating Policy & Procedural Manuals.
Assistance with resident/fellow lectures (calendar invites, email correspondence, IS Request, attendance, consent forms, etc.).
Maintain pagers for incoming residents and fellows for all programs.
Facilities request for GME & resident/fellow areas.
Order & Distribute Business Cards, White Coats, Jackets, Scrubs.
Assistance with GME Events (Recruitment, Graduation, Retreat, Onboarding, etc.).
Delivers, receives and opens all mail (except confidential mail) and distributes to appropriate individuals.
Assist with catering orders for GME/Residency events.
Interacts with all levels of the organization and outside contacts, assesses the situation and responds appropriately.
