We seek a Sr. Administrative Assistant to join our dynamic team and provide vital support to the City Administrator and Mayor’s offices and serve as Deputy City Clerk, playing a crucial role in various municipal functions. The position is responsible for delivering quality administrative support, ensuring exceptional customer service, and managing complex tasks.
Key Responsibilities:
Primary point of internal and external contact for the Mayor, City Administrator, and City Council, handling inquiries, prioritizing tasks, and exercising judgment in accordance with organizational policies.
Perform complex administrative duties requiring excellent communication, organization, and multitasking skills, to include calendar management, scheduling meetings and events, composing detailed correspondence, reports, notices, and certificates, and maintaining accurate records.
As Deputy City Clerk, coordinate and support various City Council and committee meetings (daytime and evening hours), ensuring compliance with applicable laws and regulations and accurate completion of City Council meeting minutes, coordinate document release, and process Freedom of Information Act requests. Manage municipal elections, ensuring compliance with State and County Election Authorities guidelines.
Manage the agenda management process utilizing the City’s cloud-based agenda management system.
Assist with license application and renewal processes by providing customer service, ensuring legal compliance, and maintain proper records for various licenses.
Track budget expenditures and make recommendations for the annual departmental budget.
Contribute to a positive group environment by participating in team efforts, assisting co-workers on special projects, and providing leadership through example.
Provide backup support and assistance to other departments and the Communications Division as needed.
Qualifications:
Associate’s degree or equivalent experience in the area of responsibility.
Minimum of three years of administrative experience of a progressively responsible or complex nature.
Intermediate computer skills, including knowledge of Microsoft Office applications.
Knowledge of the City’s Municipal Code, the Open Meetings Act, licensing procedures, election procedures, and the responsibilities of a municipal clerk. Certified Municipal Clerk preferred.
Effective interpersonal communication skills, excellent file maintenance, organizational skills, and meticulous attention to detail.
Freedom of Information Act and Open Meetings Act certifications from the State of Illinois within six months of hire.What We Offer: Pay range of $29.31 – $41.04 per hour with starting pay commensurate with experience.
