The objective of this position is to deliver the ProfitCoach Experience (own the outcome, ease of doing business, extraordinary experience) by providing support to the ProfitCoach team as a whole through detailed, timely, and efficient executive, administrative, and HR support.

What You Would Do

General Responsibilities

• Internal email correspondence
• Daily task planning
• Task-by-task time tracking
• Daily and weekly meetings
• Professional development reading
• Enter and maintain information in our databases on a daily basis
• Coordinate special ad hoc development projects with the ability to strategically think through the minutia and details of a project and carry it across the finish line to full implementation.
• Work with discretion and tact when exposed to confidential information.

Executive Support

• Manage multiple inboxes with consistent attention to detail, efficiency, problem solving, and ADEPT Communication.
• Proactively manage multiple complex calendars and remain flexible to changes.
• Arrange client meetings and ensure all necessary client data and materials are up-to-date and accessible to the owners through the designated software platforms.
• Work closely with executives and P&C Manager to prioritize important projects, provide frequent updates, and ensure completion.

Administrative Management

• Provide rock solid general administrative support (inbox management, expense tracking, ordering supplies, shipping items), prioritizing people and situations in need of attention.
• Provide excellent customer and applicant care and support that anticipates needs and questions with energetic and timely correspondence (via email, phone, or teleconferencing) and follow through on any necessary tasks required.
• Troubleshoot and anticipate needs of management and team members.
• Assist in onboarding new employees to softwares and company policies.
• Provide oversight to password sharing across the organization.
• Provide ad hoc software assistance and troubleshooting.
• Provide support and leadership to event planning, including booking reservations, managing flights for team members, scheduling, and providing on-site support and management of team events.
• Assist sales and marketing team with CRM management, lead nurturing, and special projects.

Hiring & HR Support

• Maintain the hiring systems currently in place through posting jobs, screening resumes, assessing video applications, running screening calls, and performing reference calls.
• Make critical decisions through the hiring process to find quality, qualified candidates with strong culture fit and ProfitCoach career potential.
• Present ProfitCoach to prospective candidates in a way that is compelling, enthusiastic, and truthful.
• Maintain constant communication with applicants through the hiring process and provide clear communication of next steps or questions.
• Provide ownership of the hiring process through understanding position specific requirements, clear communication to team mates and applicants, and consistently delivering insightful and discerning decision making.
• Oversee the onboarding of new hires to all company apps, make team introductions, and review key policies.
• Oversee filing of state tax registration for new hires in states where ProfitCoach is not yet registered.
• Track and process time off requests and enforce PTO policies.

Client Experience

• Oversee and execute on the The Property Management Financial Freedom Pathway as the cohesive ProfitCoach client experience framework
• Work with other managers to ensure a cohesive client experience through the client lifetime, providing clearly defined expectations for clients and internal collaborators on key points of the client experience
• Oversee the creation of regular and ad hoc client gifts and ensure timely delivery

In summary, this position requires four key abilities:

• The ability to handle complex development projects by understanding the desired end result and then independently thinking through the minutia and details of the project AND carrying it across the finish line to full implementation.
• The ability to intuitively fill in the gaps of what has not been explicitly delegated, and cover the “administrative backs” of the executives.
• The ability to juggle the urgent, the routine, and larger projects simultaneously through proper prioritization.
• The confidence to manage relationships and work with team members in a way that drives results. In other words, other people don’t stop you from getting the project across the finish line.
